Welcome to The Car Rental Company Guwahati. By booking, reserving, or renting a vehicle through our website, mobile application, or any of our regional services, you agree to comply with and be bound by the following Terms & Conditions. These terms define your rights, liabilities, and responsibilities as a renter of self-drive vehicles.
1. Vehicle Inspection
Before taking possession of the vehicle, you are responsible for inspecting its condition. By accepting the vehicle, you acknowledge that it is in satisfactory condition and suitable for use. We recommend taking high-resolution photos and a video walk-around of the vehicle before departure for your records.
2. Responsibility for the Vehicle
The renter assumes full responsibility for the vehicle from the time of pickup until it is officially returned to our authorized representative. You agree to return the vehicle in the same condition in which it was received, except for normal wear and tear.
3. Damages and Repairs
The renter is fully responsible for any damages occurring during the rental period, including but not limited to: scratches, dents, accidents, broken parts, missing accessories, tyre damage, interior stains or tears, and mechanical damage caused by driver negligence. The renter agrees to bear the complete repair or replacement cost as determined by The Car Rental Company Guwahati.
4. Rental Charges
Full rental payment must be completed before vehicle handover. Additional charges may apply for late return, extra usage beyond agreed kilometer limits, damages, excessive interior dirtiness (requiring a deep wash fee), traffic penalties, or toll violations incurred during your rental.
5. Security Deposit
For rentals exceeding one (1) day, a refundable security deposit is mandatory. The security deposit may be adjusted against: vehicle damages, traffic fines/challans, toll charges, late return penalties, or unpaid rental charges. The remaining balance, if any, will be refunded after inspection and verification (typically within 48 hours of vehicle return).
6. Vehicle Return
The vehicle must be returned on or before the agreed date and time. Failure to return the vehicle on time may result in additional rental charges, late fees, and potential legal penalties if the delay is uncommunicated.
7. Traffic Rules & Legal Compliance
The renter agrees to comply with all applicable traffic laws and regulations in India. The renter shall be solely responsible for: traffic challans, parking fines, speeding penalties, toll violations, towing charges, and any legal liabilities incurred during the rental period.
8. Prohibited Uses
The rented vehicle must not be used for: illegal or criminal activities, racing or motorsports, reckless or dangerous driving, commercial transportation of goods or passengers without authorization, driving by any person not approved in the rental agreement, or any off-road driving that may cause unnecessary damage to the chassis or underbody.
9. Accidents & Emergencies
In the event of road accidents, vehicle breakdown, theft, fire, mechanical failure, or any other incident involving the vehicle, the renter must immediately notify The Car Rental Company Guwahati. Renter must not execute independent repairs or modifications without explicit approval from our support team.
10. Company's Decision
The assessment made by The Car Rental Company Guwahati regarding vehicle damages, repair costs, penalties, and outstanding charges shall be considered final, binding, and conclusive.
11. Driver Eligibility
The renter confirms that they possess a valid driving licence that remains valid throughout the rental period, and that they are legally permitted to operate the rented vehicle category. Providing false or invalid information may result in immediate cancellation of the booking without refund.
12. Booking Cancellation
Cancellation and refund policies are subject to the company's booking policy applicable at the time of reservation. Standard cancellations made at least 48 hours before pickup are eligible for a refund, subject to nominal transaction processing fees.
13. Limitation of Liability
The Car Rental Company Guwahati shall not be liable for: loss of personal belongings left in the vehicle, delays caused by traffic or weather, mechanical failures beyond reasonable control, or any indirect or consequential damages arising from vehicle use.
14. Privacy
Customer information collected during booking will be used solely for rental verification, legal compliance, customer support, and service improvement. Personal information will not be shared with unauthorized third parties except where required by law.
15. Acceptance of Terms
By booking or renting a vehicle through our website, mobile interface, or physical office, you acknowledge that you have read these Terms & Conditions, understand your responsibilities as a renter, agree to comply with all policies stated herein, and accept full responsibility for the vehicle during the rental period.
Standard Self-Drive Guidelines
Minimum Driver Age Requirement
The primary driver must be at least 21 years of age and hold a valid, non-expired Indian LMV driving license (or International Driving Permit for foreign nationals) for at least 1 year before the rental pickup date.
Fuel Policy (Same-Level Return)
We operate on a Same-Level fuel return policy. The vehicle will be handed over with a certain level of fuel, and you must return it with the exact same level. If returned with less fuel, local market rates plus a convenience handling fee of ₹200 will be charged.
Late Return Charges & Grace Period
We allow a grace period of 30 minutes for returns. Late returns beyond this period are charged at ₹300 per hour. If a delay exceeds 3 hours, a full day's rental charge plus a penalty of ₹1,000 will apply, as this directly affects the next customer's booking.
Governing Law & Jurisdiction
These Terms & Conditions, the rental agreement, and all associated services are governed by and construed in accordance with the laws of India. Any disputes arising out of or in connection with our services shall be subject to the exclusive jurisdiction of the Courts of Guwahati, Assam.
